Three part series on fundraising donation solicitation tools
Yesterday we included a donation solicitation letter that you can use and make your own when going out and asking for donations for your live auction and silent auction. Today we have part 2 in the series, the donation solicitation contract.
Part 2: Donation Solicitation Contract
You got the donor to say yes. They are going to donate to your event…now what? You need to make the donation final.
Take this Donation Solicitation Contract and make it your own. Fill out as much as you can about the donation and the donor and send it to them to approve and finalize.
- This makes the donation final
- You know exactly how to best market the item
- There is a retail value of the donation that can be used for post-event tax letters (if donations to your event are tax deductible)
- You are able to track how much your volunteers are bringing in
- You also have all the info needed to send post event thank yous
I always fill this out for my donor and email it to them for review and to finalize. I ask them to email me back changes and an email “approved for use in X event.” I try to make it as easy as possible on them. I also then immediately work to get the donation in my hands.
